Resignation Letter to Clients

When you need to resign from a position in which you are used to working closely with clients, it is an expected courtesy to notify them of the situation. The best way for a business professional to handle this is to send a formal resignation letter to clients. This will show the clients that they are trusting their projects with a good company whose employees have integrity, which in turn shows your employers that you are someone who holds goodwill toward them and deserves a great reference.

Format and Content

You are probably used to communicating with clients, but there are a few special considerations for an official resignation letter to clients format. First, address them formally and give a brief explanation of your intentions. You do not need to go into great detail of why you are leaving; if you do not wish to disclose sensitive details it is sufficient to state that you are resigning for personal or health reasons. If you have any details about who will be taking over your responsibilities, be sure to note those as well as leaving your number in case the client has any questions prior to your resignation. Be sure to thank your client for letting you work with them and for understanding the situation.

Dear Mr. Peters,

I am writing this letter to inform you of my resignation from ABC Company and therefore your account. My resignation is due to health reasons and will come into effect two weeks from now, on June 15, 2014. I feel confident that you will not suffer any inconvenience due to my resignation, as a trusted colleague, James Patterson, will be taking over my responsibilities with your account.

After that time, you may contact Mr. Patterson at [email] with business matters and he will also be personally contacting you in the near future.

I appreciate all of the cooperation and patience in the time I have worked with you and I hope that you feel the same way. I wish you and your firm every success and hope that we may cross paths again at some time. Thank you for your understanding.

Yours sincerely,

Diana May
