Sample Leave Letter to Manager

Posted in Leave Letters

All employees are legally entitled to a certain number of days off from work each year. However, when you are planning to take some of that time off, it is important to remember to confirm this with your manager by way of a formal letter. A formal leave letter to manager is an expected form of professional communication which can ensure continued good relations with your employers by clearly stating your intentions and having them on file.

Format and Content
There is more than one correct leave letter to manager format. The most common is to put your address, your manager’s address, the date at the top of the page, and briefly write your intentions. You can request specific dates off of work, being clear about which day you would leave and which day you would return. If you have any outstanding vacation days from the previous year, you may ask for them to be carried over. If you can be contacted during your leave, provide your contact information.

Here is a leave letter to manager sample, written by a sales associate who is requesting her annual two weeks’ leave, plus 4 extra days that she had not taken off in the previous year. She writes her request in a formal, concise style, being clear about the dates of her departure and return. She also leaves her contact information where she can be reached before and during her leave.

Dear Mr. Doyle,
I am writing this letter to formally request my annual two weeks’ leave, starting June 1, 2014, so that I may finalize my plans to travel out of the country this summer. I think you will find that I have not taken any days off yet this year, and have 4 remaining days from last year that I did not take. I would like those to be added onto my total leave time, if possible, making my date of departure from work June 1, 2014 and return date June 19, 2013. I would greatly appreciate the addition of these extra days in order to make the most out of my time traveling abroad.
I hope that my work over the past years has spoken for itself in regards to my willingness to put forth as much effort as possible to make up for the lost time once I return from my leave. I appreciate your assistance in this matter.
If any clarification is needed in this matter, please do not hesitate to contact me via telephone at (532)768-5114. I can be reached periodically during my leave via email at [email] if there are any questions or concerns. I look forward to your response so that I can finalize my travel plans in a timely manner. I thank you for your consideration.
Yours sincerely,
Angelica Roberts
