Client Appreciation Letter

In order to get the most mileage out of a client appreciation letter, it makes sense to personalize each one. It is important for clients to know that you appreciate their business, and it is just as important to make sure each letter is addressed to the individual at your client’s office who has the power to hire and fire vendors. Taking the time to get your letter to the right person is worth it.

Format and Content

When putting together a client appreciation letter format, it is acceptable to use a basic form letter as a starting point. For each individual client, you can tweak the letter to include personal information relevant to that client only. For example, you can mention a successful project your company worked on with the client or you can discuss the number of years you have provided products and services to the client.

Good consultants provide valuable specialized services to many companies and organizations. This client appreciation letter sample is from a healthcare financial consultant, and it is written to the chief financial officer (CFO) of a healthcare facility where the consultant has provided services for a number of years.

Dear Mary,

It does not seem like it has been 15 years since the first project XYZ Healthcare Consulting Services handled for ABC University Medical Center. The overhaul of your chargemaster following your system conversion was a huge challenge, but we came through it with no major glitches. I want you to know how much I appreciate our business relationship. My staff and I consider ourselves partners with you and your organization. As members of the community who have benefitted from the excellent healthcare provided by the medical staff at ABC, the financial health of the hospital is of the utmost importance to us as your consultants and as your patients.

I also want you to know how much I appreciate the extensive projects you have sent our way in the last 2 years. We have actually done more business with your facility in the last 2 years than we have done in the 10 years prior. We are proud of the successes of our programs in which we prepared your staff for the Health Information Portability and Accountability Act (HIPAA) expansion, as well as the coding changes from the International Classification of Diseases (ICD) 9 to ICD 10 last year. As healthcare facilities continue to face recovery audit contractors (RAC), we will continue to help your staff avoid mistakes that will bring fines from the RACs.

As we continue to face the future challenges coming to healthcare finance in the next decade, I want you to know that the team here at XYZ Healthcare Consulting Services is ready to help you and your staff successfully leap over each hurdle while maintaining maximum fiscal health at your facility. We appreciate the opportunity to partner with you in meeting these challenges and look forward to many more years of working with you and your staff.

With Sincere Gratitude,

Jane Grant
