A promotion acceptance letter is given to an executive within a given company whenever an employee is selected for a new position of greater responsibility. The letter serves as formal notice that a worker will be leaving a particular position so that the human resources director can begin looking for a replacement, but is also written because doing so is good business etiquette.

Format and Content
The lettertalks about the position one is being promoted to, the effective date of the promotion, and a little bit about what the position entails. If there are any special stipulations involved in this promotion, these should be stated very briefly in the promotion acceptance letter format, as well. The writer of this letter should be very humble in the approach that’s taken, and not use this letter as an opportunity to brag or boast about accomplishments or achievements.

Dear Dr. Burton,
I would like to take this opportunity to formally accept the position of public affairs director for Superior Care Hospital. It is with great pleasure that I humbly accept your generous offer to fill the position that will be vacated by our current public affairs director Jim Grayburn beginning November 1, 2013.
In accepting this position, I acknowledge that this role will only be a temporary assignment, as Mr. Grayburn is planning a leave of absence from approximately November 1, 2013 through April 30, 2014.
